About this policy
Expansive Connection LLC (“Expansive Connection,” “we,” “us,” or “our”) is a North Carolina relationship-coaching and education business. This Privacy Policy applies to our website, website forms, mailing list, coaching services, workshops, groups, courses, memberships, and related offerings.
This policy does not govern third-party websites or services. Those providers maintain their own terms and privacy practices.

Information We Collect
Coaching information
When you receive coaching, we may create session notes or recordings and communicate with you by email. Relevant clients and coaches may access notes or recordings through restricted file-storage folders.
Registration and payment information
Registration and scheduling providers may collect contact and booking details. Payment providers process payment-card information. We may receive payment confirmations and the last four digits of a card, but we do not see or store full card numbers.
Basic website information
Our hosting provider may process technical information needed to deliver and secure the website, such as IP address, browser information, request logs, and device information. We plan to launch without visitor analytics or nonessential tracking cookies unless this policy is updated before those tools are activated.
Purpose
How We Use Information
We use personal information to:
- Respond to questions, requests, and inquiries.
- Schedule and provide coaching, workshops, groups, courses, memberships, and related services.
- Process registrations, payments, refunds, and service communications.
- Administer our mailing list and send marketing only to people who have affirmatively opted in.
- Maintain service records, protect participants, enforce our terms, prevent fraud or abuse, and comply with law.
- Operate, secure, and improve the website and our services.
Website form submissions are accessible only to the Expansive Connection admin team. If an inquiry becomes a coaching or other service relationship, the records applicable to that relationship may be handled under the relevant service agreement.
Email and forms
Please choose carefully what you submit.
Website form submissions may be transmitted to our admin email inbox by a form-processing provider. Email transmission is not necessarily encrypted. Please do not submit highly sensitive medical, financial, or emergency information through a website form or ordinary email.
If you need a more private way to share information, contact us so we can explore another method. Our website and forms are not emergency or crisis services. If you are in immediate danger or experiencing a crisis, call 911 or contact the 988 Suicide & Crisis Lifeline.
Retention
How long we keep information
- Website inquiries and contact-form submissions: 12 months after the last communication, then deleted, unless a legal requirement or client-record rule requires longer retention. We may honor a valid deletion request sooner.
- Mailing-list contacts: retained until you unsubscribe or request deletion.
- Coaching session notes and recordings: retained for 90 days, then deleted.
- Payment information: full card information is handled by the applicable payment provider. We may retain transaction records, payment confirmations, and the last four digits as reasonably needed for business and legal records.
Recordings
Workshop Recordings and Marketing
Peer-group sessions are not recorded. Workshops may be recorded and shared with registered participants. Registration will include notice of and consent to recording and possible future use. Copies provided to participants are for personal use only and may not be shared, copied, or redistributed.
We may retain workshop recordings for possible future use. Before future use, participants’ names, images, and voices will be edited out.
We use testimonials, photos, or other identifying details in marketing only with separate written consent. You may revoke that consent in writing for future use, but revocation does not require us to remove or recall materials already published or distributed.
Service providers
When information is shared
We do not sell or rent personal information. We may share information with service providers when reasonably necessary to operate the website or provide services. These may include form-processing, scheduling, payment, file-storage, website-hosting, course, and retreat providers.
Mailchimp hosts certain registration and mailing-list pages. Stripe processes certain payments. Other providers may process names, email addresses, booking details, service information, or other data needed for their role.
We may also preserve or disclose information when reasonably necessary to comply with law or lawful requests; enforce our terms; investigate suspected violations; protect rights or safety; or prevent fraud or abuse. Any disclosure will be limited to information reasonably necessary for that purpose.
Third-party providers are governed by their own terms and privacy policies. They may change those practices independently, and Expansive Connection is not responsible for those changes.
Marketing
Mailing-list choices
We send marketing emails only to people who affirmatively join our mailing list or otherwise provide consent. One signup submission is sufficient; we do not require a separate confirmation email.
Every marketing email will include an unsubscribe option. We honor unsubscribe requests promptly, and you may also request deletion by contacting us.
Your rights
Your Privacy Choices
You may ask to access, correct, or delete your personal information by emailing connect@expansiveconnection.com. We may need to verify your request. We will respond subject to applicable law and any legal, client-record, or business-record obligations that require us to retain information.
You may unsubscribe from marketing using the link in an email. You may also revoke written marketing consent for future uses by contacting us.
Age limits
Children’s Privacy
Our website and services are for adults age 18 or older. We do not knowingly collect personal information from minors. If we learn that we received a minor’s personal information, we will delete it promptly.
International visitors
International Data Processing
We serve clients outside the United States. If you access the website or services from another country, your information may be transferred to, processed in, and stored in the United States, where privacy laws may differ from those in your location.
Security
How we protect information
We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. No internet transmission or electronic storage method can be guaranteed completely secure.
If a personal-information breach occurs, we will notify affected individuals and relevant authorities when required by applicable law.
Updates
Changes to this policy
We may update this Privacy Policy. Material changes will be posted on the website or communicated by email when appropriate. The policy will show its Effective Date and, after a revision, a separate Last Updated date. Changes apply from the stated date and are not retroactive.
